How to Write a Resignation Letter: Sample Template

Part 1: Start Your Resignation Letter With the Basics

Writing a resignation letter is a simple process that gives you a professional way to let your employer know that you are leaving your job. A resign letter doesn’t have to be long and complicated – in fact, it should be brief and to the point. In your letter, you should include the date of your last day of work, and a brief explanation of your reasons for leaving.

Start With Your Contact Information

At the top of your letter, include your contact information. This is the same information you provide on your resume, and should include your full name, address, and phone number. If you’re comfortable, you can also include your email address.

Include the Date

Next, include the date of when you’re submitting the letter. This is important because it gives the employer a point of reference for when you officially submitted your resignation.

Include the Employer’s Contact Information

Next, provide the contact information for your employer. Include the name of the person to whom you are submitting the letter, their title, the company’s name, and the address.

Part 2: Explain Your Reason for Resigning

Once you’ve included the necessary contact information, it’s time to explain your reason for leaving. In this section, you should be honest, but respectful. You don’t need to provide too much detail, but it’s important that you provide enough information to show that you’re leaving for a valid reason.

Express Gratitude

Take this opportunity to express your gratitude for the opportunity you’ve been given. If possible, mention a few specific opportunities or experiences you’ve had that have had a positive impact on your career.

Explain Your Reason for Leaving

Next, explain your reason for leaving. You don’t have to provide too much detail, but you should be honest and respectful. You can explain that you’re leaving to pursue new opportunities, or that you’re looking for a new challenge.

Part 3: Offer to Help With the Transition

In this section, offer to help with the transition process. You can offer to train a replacement, provide a detailed handover of your responsibilities, or offer to help in any other way that you can.

Offer Assistance

This is your chance to show that you’re committed to helping the company even after you’ve left. Offer to help in any way you can, and provide as much detail as possible about what you can do to help.

Express Your Appreciation

Finally, express your appreciation for the opportunity you’ve been given. Mention any specific experiences or opportunities that have had a positive impact on your career.

Part 4: End Your Resignation Letter on a Positive Note

End your resignation letter on a positive note. Thank your employer for the opportunity, and express your hope that you can stay in touch in the future.

Thank Your Employer

Take this opportunity to thank your employer. Express your gratitude for the opportunity you’ve been given, and mention any specific experiences or opportunities that have had a positive impact on your career.

Stay in Touch

Finally, express your hope that you can stay in touch in the future. You can offer to keep in touch by email, or to stay connected through professional networks such as LinkedIn.
